Mailing Dates. Learn when University Housing Services sends out important housing information.
During the following time periods, students should expect to receive the documents listed below:
- February--Residence hall information packets (which include an application-contract, Contract Terms and Conditions, and Residence Hall Information brochure) are mailed to new students. Contract renewal information mailed to current residents.
- February through summer--University Housing Services will confirm receipt of each student's residence hall application-contract within 10 days of receiving it.
- May--Depending on the date a student's contract is received, new students will get either their web date, code, and instructions on going on line to select their room or information regarding a later assignment.
- June--Important Information document sent to students at their permanent address. This document includes important information about any changes or updates to the Contract Terms and Conditions; room and meal plan rates; and cancellation procedures, deadlines and corresponding charges.
- July--Letter sent to all to students at their permanent address reminding them to cancel their residence hall contract in writing if they no longer plan to attend Illinois State. (At that point, the cancellation charge is $250; but if they don't cancel until after the halls open the charge increases to $250, plus daily room and base meal plan charges through the date of cancellation, plus half the room charge for the remainder of the semester.)
- July--Letter sent to students who did not receive a web date in May regarding their room assignment process.
- July--First bill sent to permanent address for fall semester; due in August.
- Early August--Room assignment notice (includes roommate's name, ULID, and address) sent to new residence hall students along with move-in instructions.
- September--Information sent to all freshmen residents reminding them about the University's On Campus Housing Policy which requires that freshmen live in the residence halls their first four semesters at Illinois State or until they reach 60 credit hours or have been out of high school for four semesters. This letter reminds freshmen students that it is NOT a good idea to sign a lease for off-campus housing unless they've received an exemption to the requirement (in writing) from University Housing Services.
- October--First reminder sent to all residence hall students about the December 1 deadline for canceling their contract if they plan to cancel their contract for spring semester.
- November--Second reminder sent to all residence hall students about the December 1 cancellation deadline.
- November--Information sent to all residence hall students about the second semester room change process. This information is also posted throughout the residence halls and is advertised on Campus Connection (one of the cable TV channels). (Students who want to move to a different room or residence hall for spring semester may select a different room during the Room Change process in November and December.)
- December--Residence hall staff send out and post information about semester break, including but not limited to, how to prepare room, and closing date and time.
- January--Second letter sent to all freshmen residents reminding them about the University's On Campus Housing Policy which requires that freshmen live in the residence halls their first four semesters at ISU or until they reach 60 credit hours or have been out of high school for four semesters. This letter reminds freshmen students that it is NOT a good idea to sign a lease for off-campus housing unless they've received an exemption to the requirement (in writing) from University Housing Services. Also, it informs them that they will be blocked from registering for fall classes until they renew their residence hall contract for the following year.
